Basic services include the following:

Accounting

  • Opening and administrating of a current account.

  • Receipting and recording of levies and utilities.

  • Payment of all accounts payable by Body Corporate.

  • Preparation of annual budget for approval by the trustees.

  • Periodic revue of the estimate expenditure.

  • Keeping full records of the administration, including proper books of accounts in terms of normal accounting principals.

  • Arranging of annual audit with auditor.

  • Submission of Tax if applicable.

  • Assisting and advising the body corporate on fair and just amendments to annexure 9 of the act and registration of amendments of the conduct rules.

  • Assisting and advising the body corporate on enforcement of the conduct rules.

Secretarial

  • Arranging and attending the Annual General Meeting.

  • Attending trustees meetings – 4 per annum.

  • Taking of minutes of meetings and the distribution there of.

  • Storing of minute books, attendance registers, register of sectional bondholders, sectional plans, rules, insurance policies and other permanent records of the body corporate.

  • Assisting and advising the body corporate on procedural matters.

  • Attending to proxies, agendas and nominations.

  • Preparing and dispatching notices and circulars.

  • Record keeping within the generally accepted practices.

  • Liaison with the attorneys regarding clearance certificates and registrations.

  • Sending correspondence to owners or other parties as instructed by the trustees.

Administration

  • Assisting trustees with day-to-day management as per the act.

  • Administration

  • Operation of bank account

  • Replacement values for insurance

  • Arranging of insurance as per the act

  • Fidelity guaranteed insurance on behalf of the body corporate

  • Assistance with insurance claims

  • Executing specific instructions from the trustees with enforcement of the rules

  • Assisting and advising the board of trustees.

  • Assisting with maintenance of the common property – sub-contractors

  • Collection of levies and incomes due to the body corporate.

  • Attending to the collection of arrear levies and legal action when necessary

  • Verification and payment of all accounts

  • Payments of salaries, wages, UIF, PAYE and workman’s compensation.

Insurance

  • Assisting with appointing a broker.

  • Assisting with determination of replacement values.

  • Arranging for insurance of buildings and improvements.

Legal

  • Assistance with compliance to the regulations of the act.

  • Advising owners of their rights and obligations.

  • Make available to owners and other parties all records, rules etc.
